Getting started
Who is MyRecTime for?
Towns and recreation departments that share fields, courts or other facilities with coaches, leagues and clubs. Coaches use it to reserve; staff use it to manage.
Is it available in my state?
Yes. You pick your state and town from a list that covers cities, towns, villages, boroughs and townships across the United States. Your town's time zone is set from your state, and you can change it in Settings.
How long does setup take?
Creating the account takes about three minutes. After that it's self-serve: you add each location by address, outline its facilities on the map and set hours. The more facilities you have, the longer the outlining takes.
Can we try it before paying?
Yes. The Free plan covers one location and two facilities, so you can try the real thing. Or ask us anything first.
How do we know which plan we need?
The sign-up includes a plan helper. Tell it your sports, age groups, whether you have boys' and girls' teams, how many facilities you use and how busy each team is, and it recommends the smallest plan that fits.
Coaches and teams
Do coaches pay?
No. Coach accounts are free. Your plan sets how many coach accounts your town can have.
What counts as a team?
One squad. Each sport, each age group, and boys' and girls' teams count separately, so a soccer program with six age groups for boys and girls is twelve teams. Every reservation is booked for a team, and everyone on a team shares its reservations.
How do coaches sign in?
With a one-time code sent to their email. There's no password to forget. People can change their sign-in email themselves with a confirmation code sent to the new address.
How many town staff can have admin access?
It depends on the plan: 1 admin on Free, 2 on Starter, 10 on Plus and unlimited on Premium. Coaches don't use admin seats.
Can a coach work with more than one town?
Yes. One account can belong to several towns, and the coach switches between them.
Booking and approvals
Can we require approval?
Yes, on Starter and above. Requests wait in a queue until staff approve or decline, and the coach is emailed the decision, including who made it. On every plan you can use auto-confirm.
Can we limit how far ahead people book?
Yes. The window is set per location, up to your plan's maximum: 14 days on Free, 90 days on Starter, and a year on Plus and Premium.
What about repeating reservations?
A coach can repeat a booking weekly for up to 4 weeks on Starter, 12 on Plus and 24 on Premium. The Free plan books one reservation at a time.
Can we block off a field?
Yes. Closures block a facility or location for maintenance, tournaments or events, and coaches see the reason.
Do coaches get reminders and emails?
Yes. Coaches get confirmations, approval decisions and a reminder before each reservation, which they can switch off. Town admins also get a summary of the month on the first of each month.
Plans and billing
What does annual billing change?
Annual plans show the lowest monthly price. Monthly billing costs $10 more per month.
What happens when we move up a plan?
The new plan starts right away. You pay the difference in price for the rest of your current term, and your renewal date stays the same.
What happens when we move down?
The change takes effect at your next renewal, so you keep what you have until then. There are no refunds for time already paid for. A smaller plan is only available if your usage fits within its limits, and plans you've outgrown are marked in the app.
What if we grow past a plan's limit?
You'll see your usage against each limit in Settings, and you can move up a plan at any time. Larger departments can get in touch about Premium.
Security
How are payments handled?
Card details are handled by a PCI-compliant payment processor and are never stored on MyRecTime systems. See Security & privacy.
What data do you keep?
Account details such as names, email addresses and contact phone numbers, plus teams, reservations and facility information. Read the privacy policy.
